Stock Takes & Cycle Counts

Conduct physical warehouse inventory counts and cycle counts, freeze stock snapshots, review count variances, and reconcile discrepancies with atomic GL postings.

Set the count boundary#

You need Stock Takes in your plan and the “Create, manage, and complete stock takes” permission. Decide whether to count every location, one bin, or stock not assigned to a bin.

Count and submit the stock take#

    Open Stock Takes and choose the warehouse and whether to count all locations, one bin, or unassigned stock.

    Count the physical units and enter the quantities for each listed item and tracked identity.
  3. 3
    Submit the count for review. Keep the count sheet available so the reviewer can compare each entered quantity with the physical evidence.

    Open each variance and compare it with recent receipts, shipments, and transfers. Recount a disputed line before accepting its difference.

    Complete the take only after the variances have been reviewed and approved. Cancel it if the count scope or source data is wrong and must be started again.

    After completion, check the new stock balance and movement entries for the counted location.

A completed count can change inventory value. Keep count sheets and approval evidence for the finance review.

Review variances before completion#

Count submission moves the take to review; completion applies quantity differences through inventory movements. A bin-scope take rejects rows outside the selected bin.

WARNING: Do not complete a count until the physical count and scope have been checked. Completion changes stock and may affect valuation; use an authorized correction workflow for later discrepancies.

If a count cannot be completed#

Check that each count row belongs to the chosen warehouse and bin, and resolve any missing or duplicated tracking identities.

If a count is blocked, check for open movements or a changed location balance and recount the affected item.

Behind the Scenes: Accounting & GL Impact#

Completing a stock take can create adjustment movements for approved variances. A decrease reduces Inventory Asset and charges the configured Inventory Adjustment account; an increase moves value in the opposite direction. Review each variance and its cost before completion, and keep the count sheets and approval trail for period reconciliation.
