Pending Serial Numbers & Pre-Registration

Pre-register expected serialized units from supplier Advanced Shipping Notices (ASNs) without distorting on-hand inventory, and verify them via dock barcode scanning.

Identify the expected serialized units#

Use the serial workflow only when a product has serial tracking enabled. Check the product and purchase order before recording serial numbers ahead of delivery.

Register serials before arrival#

    Open the serial registration flow for the correct product and purchase order.

    Enter the serial numbers shown on the incoming units and leave them pending until delivery.

    Before receiving, compare every pending number with the labels on the units that actually arrived.

    During purchase receiving, select those serials and confirm one serial for each unit received.

    Check that the units now appear at the receiving warehouse and bin.
  6. 6
    After receipt, search for those serials and verify their warehouse and bin.

Registering a pending number does not create stock; the receipt does that when the physical unit is accepted.

Confirm receipt creates stock#

Pending registration does not increment on-hand quantity. A successful receipt assigns the serial to the warehouse/bin and makes it eligible under the resulting status.

WARNING: Do not promise availability or ownership merely because a serial record exists; verify the physical receipt and stock movement.

If a serial is rejected#

Check whether the serial already exists, belongs to the right product, and has been received before promising it to an order.

If a number is rejected, look for a duplicate or a number linked to another product or receipt.
