Find the original posting#
Locate the original posted journal or document, its period and active allocations. Use the correction action supported by that record type.
Reverse or correct the entry#
- 1Open the original journal and note its date, source document, and accounts before creating the correction.
- 2For a manual journal, review the source lines and use Reverse or Void when permitted; inspect the linked result.
- 3For an invoice or bill, check active payments and credit/debit allocations before voiding. Unallocate through the supported workflow when required.
- 4Post a replacement or adjusting entry only after the original correction has been reviewed.
- 5After posting the reversal or corrected entry, compare the net effect in General Ledger at the relevant cutoff.
A correction should leave an explainable trail from the original business event to the final balance.
Keep the correction trail#
Reversal, voiding and credit/debit notes have different effects. Retain the original record and audit links for reconciliation.
WARNING: A correction changes posted balances. Do not edit the database or backdate into a locked/closed period to bypass controls.
When a void is refused#
If void is blocked, inspect active allocations, linked returns/notes and period status.
If the period is locked or closed, discuss the supported period and date with Finance before posting.
