Review your account structure#

The “View chart of accounts” permission allows inspection; “Manage chart of accounts” governs creation, editing, deactivation and applying a template.

Add or update an account#

  1. 1
Open Accounting → Chart of Accounts. Inspect the current tree and template choices before creating an account.
  2. 2
Choose the account code, name, type, parent and normal balance using the form's supported choices. Keep a summary parent separate from posting accounts where the form requires it.
  3. 3
Open the saved account and confirm its type, normal use, and active status before mapping it to a business process.
  4. 4
Review Accounting Settings to map control accounts used by invoices, bills, inventory and payments. Use readiness checks before posting live documents.
  5. 5
Ask Finance to review the account in Accounting Settings if it will be used by automatic postings.

An account's name and number are labels; its type and mapping determine where transaction values appear.

Where the account is used#

Accounts organize journal lines and financial reports. Your company chooses its account codes; do not assume another company's numbering scheme applies.

WARNING: Changing or deactivating a mapped or used account can block future posting. Review linked settings and balances first.

When an account cannot be saved#

A duplicate code or invalid parent/type relationship must be corrected in the account form.

If an account is absent from a selector, check its active status and type before creating a duplicate.
