Prepare the accounts Finance will use#

  1. 1
Open Accounting → Chart of Accounts and confirm the accounts you need are active.
  2. 2
Check the company's base currency in its settings. Agree on the Fiscal Year Start Month with your accountant.
  3. 3
Make sure you have the “Manage accounting settings” permission if you will save changes. The “View accounting settings” permission allows review.
WARNING: Changing a mapped account after transactions have been posted can affect future postings. Reconcile the old account and approve the new mapping before saving.

Work through Accounting Settings#

  1. 1
Open Accounting → Settings. Choose Guided Setup Wizard or All Accounts List.
  2. 2
Under Fiscal Year Configuration, select the Fiscal Year Start Month.
  3. 3
In Receivables & Payables, choose the Accounts Receivable, Cash / Bank, and Accounts Payable accounts.
  4. 4
In Inventory & Clearing, choose the Inventory Asset, Inventory in Transit, GRNI Clearing Accrual, and Inventory Adjustment accounts.
  5. 5
In Revenue & COGS, choose the Sales Revenue, Cost of Goods Sold, and Purchase Expense accounts.
  6. 6
In Taxes & Equity, choose the Sales Tax Payable, Purchase Tax Receivable, and Retained Earnings accounts.
  7. 7
Select Save accounting settings. Reopen the page and check every selected account.
  8. 8
Preview a draft invoice and supplier bill after saving the account mappings.
  9. 9
Ask Finance to compare the proposed accounts with the chart of accounts and business policy.

A missing account mapping may allow drafting while blocking the final posting.

Use the account's actual type and purpose when choosing it. Do not select an account simply because its number resembles an example from another company.

Read the readiness panel#

The page shows an Accounting Readiness Score with the number of active financial capabilities and a configured percentage. Open each warning or missing check and correct the relevant setting. The score tells you which configuration checks passed; it does not prove that bills, inventory, bank statements, or the general ledger are reconciled.

Check the first real postings#

After setup, Finance should preview a draft invoice and bill, review the suggested debits and credits, and post only after approval. Check the resulting journals against the source documents. Warehouse staff can continue with physical receiving and picking, but should report unexpected stock value or posting errors to Finance rather than changing account mappings.

If a required account is missing from a selector, return to the Chart of Accounts and check its type and active status. If a transaction will not post, read its specific error and the accounting-period status before changing settings.
