Have customers, products, and stock ready#

Create a customer, sellable product variants, and warehouse stock before entering an order.

Follow a sale from quote to payment#

    Create the customer and, if needed, a quote.
  2. 2
    Create a sales order and reserve available stock.
  3. 3
    Pick, pack, and fulfill all or part of the goods.
  4. 4
    Open the existing draft invoice, or create an invoice for the remaining eligible shipped quantity, then review and post the invoice.

    Record and allocate the customer payment separately.
  6. 6
    Open the order's shipment history to distinguish reserved goods from goods already dispatched.
  7. 7
    Open the posted invoice and payment allocation to see what the customer still owes.

A quote, reservation, shipment, invoice, and payment answer different questions about the same sale. A partial shipment can be billed while the remainder stays outstanding. The final shipment creates a draft only for quantities that are not already in an active draft or posted invoice.

Know which step affects stock or money#

Warehouse staff should confirm the reservation, physical pick, and shipment. A fulfilled order does not mean the invoice was posted or the customer paid.

WARNING: Do not treat a fulfilled order as an automatically posted invoice or a recorded payment as money collected from the customer.

If the sale stops moving#

Open the last completed record and fix its specific stock, invoice, or payment issue before continuing.

If a customer's account looks wrong, identify the missing milestone before recording a correction.

For Finance: Invoicing and Settlement#

Confirm tax and account settings and an open accounting period before posting. Review the posted invoice and its receivable, then confirm the customer's payment and allocation. Reservation is not revenue, and a draft invoice is not a posted one.
