Customer Credit Notes & Returns

Issue financial adjustments or physical stock returns with automated COGS and inventory asset reversal, serial/lot reactivation, and sales invoice balance allocations.

Inspect the original sale and returned goods#

The returns feature and customer-credit-note permissions are required. Identify the original invoice or fulfillment and choose financial-only or stock-return treatment.

Create a customer credit note#

    Open Customer Credit Notes and select the customer and original invoice.

    Choose financial-only credit or stock return. For a return, inspect the goods and tracking labels.

    If goods are returning, verify the physical quantity, condition, warehouse, lot, and serial before posting the note.

    Enter the reason and amounts, review, and post the note.
  5. 5
    Apply the posted credit to an eligible invoice when appropriate.
  6. 6
    After posting, reopen the original invoice and confirm the remaining customer balance.

A price-only credit and a return of sellable stock have different inventory consequences.

Check stock and customer credit#

For a physical return, confirm the goods are back and their lot or serial labels match what you recorded. A financial-only credit does not add stock.

WARNING: Do not record a stock return until the goods have arrived and been inspected.

If a return cannot be credited#

Check the original invoice, return quantity, tracking details, period, and existing allocations.

If the original invoice has active payments or credits, review those links before trying to void or replace it.

Behind the Scenes: Accounting & GL Impact#

A posted credit note reduces the customer's receivable and reverses the applicable revenue and tax. When sellable goods are physically returned through the supported return flow, KariVast also debits Inventory Asset and credits Cost of Goods Sold for their cost. A price-only credit must not put units back into stock. Review the original invoice and the return condition before posting.
