Choose the reporting cutoff#

Use posted invoices and the AR view/report with matching as-of date and currency. Check active customer payments and credit-note allocations.

Find overdue customer balances#

    Open Accounts Receivable or its aging report and select the trial balance date and currency.

    Find the customer you are reviewing and read each invoice's due date and Balance Due. Note which invoices are past due at the selected cutoff.

    Open an overdue invoice and inspect its posted payments and credit notes. Check how much of each was allocated to this invoice.

    If a payment appears missing, open Customer Payments and check its customer, posting status, currency, and unapplied amount.

    Compare the detailed receivable total with the configured receivable account in Trial Balance at the same cutoff and currency.

    Keep the invoice and payment references with your collection or reconciliation notes so another reviewer can follow the difference.

An aging balance is a collection question only after credits and payments have been applied correctly.

Reconcile receivables#

Posting an invoice creates the receivable. A payment can be posted without being allocated; only active allocations and credits reduce the linked invoice balance.

WARNING: Do not infer cash collection from a paid-looking invoice without checking the posted payment and bank reconciliation.

If a balance remains#

Confirm the payment is posted and allocated to that invoice, not merely recorded against the customer.

If the customer disputes the amount, use the invoice and allocation history rather than editing the aging report.
