Supplier Debit Notes & Returns
Record a supplier credit for returned goods or a price adjustment, then review its effect on stock, supplier bills, and payment allocations.

Inspect the goods and original bill#
The returns feature and supplier debit-note permissions are required. Identify the original supplier bill or receipt and whether the correction is financial-only or a stock return.
Create a supplier debit note#
- 1Open Supplier Debit Notes and select the supplier and reason.
- 2Enter the credit amounts; if goods leave, record their actual location and tracking details.
- 3If goods are returned, compare the note's quantities and tracking identities with the cartons leaving the warehouse.
- 4Review and post the note after the physical return is handled.
- 5Apply the credit to a posted bill when appropriate.
- 6After posting, reopen the note and the supplier bill to check the credit applied and any remaining balance.
A price credit may leave stock untouched; a physical return must match the actual units sent back.
Verify the credit or return#
For a physical return, check that the recorded goods and quantities match what left the warehouse. A financial-only note does not move stock.
WARNING: A stock return removes inventory and may change valuation. Confirm the goods and tracking details physically left before posting. Do not use a financial-only note to represent an unrecorded return.
If the note cannot be posted#
Check the original bill, return quantity, tracking details, period, and existing allocations.
If a tracked unit cannot be returned, inspect its current warehouse, status, and earlier movements.
Behind the Scenes: Accounting & GL Impact#
A supplier debit note can reduce the payable and reverse the associated cost or tax according to its reason. If sellable goods physically leave, the stock movement credits Inventory Asset and reverses the relevant clearing value. Review the note's preview and original bill because a price-only credit should not remove units from a warehouse.
