Shared Contacts

Managing dual-role trading partners that act as both customers and suppliers (contactType: BOTH), dual-permission security guards, and ledger separation.

Check for an existing party#

A contact may have customer, supplier or both relationships. Use the customer/supplier management permissions for the relevant action.

Use one contact for buying and selling#

    Search Customers and Suppliers for the party before creating another record.
  2. 2
    Create or update the shared contact, then assign the Customer, Supplier, or Both relationship that applies.
  3. 3
    Review the contact details on both purchasing and sales records.
  4. 4
    Open both the customer and supplier views for the same business.
  5. 5
    Check that a new order or bill uses the intended relationship.

Shared details should stay consistent while transaction histories remain distinct.

Review both relationships#

Shared contact details reduce duplicate party records, but invoices and bills remain different subledgers. A change to shared name/contact fields can appear in both workflows.

WARNING: Do not merge unrelated legal entities simply because they share an email or trading name. Check existing invoices and bills before changing identity.
